Harlow, Essex | Site Based | Monday to Friday | 37.5 Hours

Do you enjoy being the person who keeps a busy service team organised and customers informed? This role puts you at the centre of a hospital-based engineering team, coordinating service requests, supporting engineers and making sure the right spare parts are available when needed.

We’re looking for an organised, customer-focused administrator who can manage competing priorities, spot delays early and produce accurate reports and documentation.

What you’ll be doing

  • Coordinate incoming service requests, shared inboxes and calls, making sure jobs are logged, progressed and responded to promptly.
  • Work closely with engineers and hospital teams to schedule visits, arrange access, track repairs and keep everyone updated.
  • Tracking work orders, KPIs and service levels, and flagging delays or issues.
  • Preparing professional correspondence, reports and documentation.
  • Maintaining accurate records and supporting audits and compliance reporting.
  • Ordering spare parts for planned maintenance and repairs, preparing quotations, and arranging shipments.
  • Liaising with subcontractors, suppliers and original equipment manufacturers (OEMs).
  • Helping improve administrative processes and ways of working.

What we’re looking for

  • Experience in a busy administrative or service coordination role, handling multiple requests and deadlines.
  • Strong organisational skills, with the confidence to prioritise work and follow up on outstanding jobs.
  • Excellent customer service and communication skills when dealing with engineers, hospital staff, suppliers and subcontractors.
  • A high level of accuracy when updating records, preparing correspondence and producing reports.
  • Confidence using Microsoft Office, particularly Excel, and working with databases or similar systems.
  • The ability to work independently, solve day-to-day problems and support a wider team.
  • A full UK driving licence.
  • Experience in healthcare, facilities management or engineering would be particularly useful, as would knowledge of service desk or work order systems, KPI or SLA reporting.

This is a site-based role in Harlow, with UK travel when required. The successful candidate will be subject to a satisfactory Enhanced DBS check.
