The Role

The Deputy Finance Manager will support the Head of Finance in the effective and accurate management of the organisation’s financial operations.

Key objectives:

  • Maintain accurate accounting records on QuickBooks, up to trial balance.
  • Take responsibility for the Equals department, including the administration of staff debit cards.
  • Line manage and support two Accounts Assistants.
  • Ensure financial processes and controls are followed consistently.
  • Provide support and cover for the Head of Finance when required.
  • Contribute to the efficient and effective delivery of the Finance function.

Main Responsibilities

Purchase Ledger & Supplier Management

  • Process purchase invoices accurately and efficiently.
  • Obtain the appropriate approvals for purchase invoices.
  • Deal with supplier queries and resolve issues promptly.
  • Code and enter purchase invoices into QuickBooks, working closely with the Head of Finance.
  • Complete purchase ledger reconciliations.
  • Process supplier credits and ensure records are accurately maintained.
  • Assist with weekly BACS payment runs.

Banking & Cash Management

  • Complete daily and monthly reconciliations of all bank accounts.
  • Maintain accurate records of cash balances.
  • Support the Head of Finance with income administration.
  • Process and bank cash and cheques on a weekly basis.
  • Assist with the preparation and monitoring of weekly cashflow forecasts.

Income & Service Charges

  • Liaise with Housing Income regarding service charges.
  • Investigate and respond to finance-related queries.
  • Ensure income is accurately recorded and reconciled.

Equals & Staff Debit Cards

  • Take responsibility for the Equals department.
  • Administer staff debit cards and associated transactions.
  • Ensure transactions are appropriately authorised and recorded.
  • Post Equals transactions accurately into QuickBooks.
  • Monitor compliance with relevant financial policies and procedures.

Financial Reporting & Accounting

  • Maintain accurate accounting records on QuickBooks through to trial balance.
  • Prepare and post journals to the Profit & Loss account and Balance Sheet.
  • Produce financial reports for non-finance staff.
  • Extract and analyse financial information from QuickBooks.
  • Use Microsoft Excel, including pivot tables and lookups, to present and analyse financial data.
  • Ensure financial information is accurate, timely and accessible to relevant staff.

Contract & Supplier Management

  • Monitor the contract tendering process.
  • Support the management and administration of contracts with external suppliers.
  • Ensure relevant financial and procurement procedures are followed.

Team Leadership & Support

  • Provide day-to-day supervision and support to two Accounts Assistants.
  • Allocate and monitor work as required.
  • Provide guidance and support to Accounts Assistants.
  • Ensure appropriate cover is provided during periods of absence.
  • Promote effective teamwork and good communication within the Finance team.

Audit & Compliance

  • Assist with internal and external audit queries.
  • Provide financial information and supporting documentation as required.
  • Ensure the organisation’s Finance Policies and procedures are followed and adhered to.
  • Maintain appropriate financial controls and accurate financial records.
  • Identify and raise any financial control issues with the Head of Finance.

General Responsibilities

  • Provide cover for the Head of Finance when required.
  • Work collaboratively with colleagues across the organisation.
  • Undertake general and ad hoc finance duties as required.
  • Maintain confidentiality and professional standards at all times.
  • Support the continuous improvement of financial processes and procedures.

Person Specification

Qualifications

Essential

  • Qualified or studying towards AAT Level 4, or an equivalent qualification.
  • Alternatively, significant relevant experience (QBE) will be considered.

Relevant Experience

Essential

  • Experience of working independently and autonomously.
  • Experience using QuickBooks, including producing and interpreting QuickBooks reports.
  • Experience of maintaining effective financial controls.
  • Desirable
  • Knowledge and experience of working within the charity finance sector.
  • Experience of working within a multi-property environment.

Skills, Knowledge & Abilities

Essential

  • Highly organised, with excellent attention to detail.
  • Ability to work confidently and independently while also working cooperatively as part of a team.
  • Strong financial and numerical skills.
  • Good IT skills, including effective use of Microsoft Office, email, internet applications and database systems.
  • Ability to analyse financial information and present it clearly to non-finance colleagues.
  • Good communication and interpersonal skills.
  • Ability to maintain accurate records and meet deadlines.
