Sales Administrator | £26,000 | Heybridge | 8:30am – 5pm Mon-Fri
The Role
One to One Personnel are looking for an organised, proactive and customer-focused Sales Administrator to join our client’s team. You’ll play a key role in supporting customers and the Sales Team, ensuring orders and administration are processed accurately and efficiently from receipt through to delivery and invoicing. This is a varied, fast-paced role ideal for someone with excellent attention to detail, strong communication skills and the ability to manage competing priorities, while working closely with Sales, Warehouse, Supply Chain, Finance and other teams to deliver a reliable, professional service.
Key Responsibilities
Sales Order Processing
- Process customer sales orders accurately and efficiently, ensuring all relevant information is correct before orders are released.
- Check purchase orders, product codes, pricing, delivery details and customer information for accuracy.
- Identify and resolve order discrepancies, liaising with customers, the Sales Team and internal departments where necessary.
- Monitor outstanding and backordered items and communicate relevant updates.
- Ensure orders are progressed in line with agreed service levels and internal procedures.
- Maintain accurate records and supporting documentation.
Customer & Sales Team Support
- Act as a key point of contact for administrative queries from customers and the Sales Team.
- Respond to telephone and email enquiries professionally and within appropriate timescales.
- Provide information regarding orders, deliveries, stock availability and other routine queries.
- Work with colleagues to investigate and resolve customer issues.
- Build effective working relationships with customers, Sales Representatives and internal teams.
Returns, Credits & General Administration
- Process and coordinate customer returns and credit requests in accordance with company procedures.
- Investigate discrepancies and ensure appropriate supporting documentation and approvals are obtained.
- Maintain accurate electronic records.
- Assist with general Sales Administration and Customer Services activities as required.
- Support continuous improvement of departmental processes and ways of working.

Skills & Experience
Essential
- Previous experience in an administrative, sales support, customer service or similar office-based role.
- Good written and verbal communication skills.
- Strong attention to detail and accuracy.
- Good organisational and time-management skills.
- Competent using Microsoft Office, including Outlook, Excel and Teams.
- Comfortable learning and using business systems.
Desirable
- Previous experience of sales order processing.
- Experience working with an ERP or order management system.
- Experience using SAP Business One or a similar system.
- Experience within a medical device, healthcare, distribution or regulated environment.
Full training will be provided on our systems, products and internal processes.
